Vendor Policies & Procedures Vendors will be defined as persons or groups of persons who sell or distribute handicrafts, goods, services, or information for profit, exposure or promotion. All vendor spaces have the option of renting space with just a table & (2) chairs or the option of a tent, table and (2) chairs. Each option has it own pricing.
1. Vending Policies and Procedures 1.1. The intent of entrepreneurial activity during the Windsor Pride Festival is to provide a diversity of services and products to the visitors at Riverfront Plaza.
1.2. Merchandise and/or services offered must not be in conflict with other operations offered at the Riverfront Plaza.
1.3. Space may be rented at Riverfront Plaza for Saturday, August 6th and Sunday, August 7th, 2011.
1.4. Windsor Pride Community reserves the right to change, cancel or add any rule(s) at any time for any reason whatsoever, move, relocate, suspend operation privileges, or immediately terminate this agreement without prior notification to anyone.
1.5. All vendors are required to fully list their products and services on the attached Product List form.
1.6. All vendors must show proof of their vendor permit and insurance and provide a photocopy to Windsor Pride Community at time of booking. In the event that a vendor / exhibitor does not have proof of insurance, he or she must sign an Insurance Waiver Form.
1.7. Windsor Pride Community does not guarantee exclusivity of product.
1.8. Windsor Pride Community reserves the right to restrict or eliminate any product or service as condition of vending. Sales of a restricted or eliminated product will result in the immediate cancellation of vending privileges without refund.
1.9. Payments are accepted in cash, certified cheque or money order ONLY. Payments should be made to: Windsor Pride Community, 422 Pelissier St, Windsor ON, N9A 4K9
1.10. Payment MUST be made at time of booking. Rentals without payment will not be allowed. We cannot guarantee a without the full payment.
1.11. Vendor must display their merchandise in an orderly manner and the area must be kept clean and free of garbage. No additions to booth are permitted without the expressed consent of Windsor Pride Community.
1.12. If Windsor Pride Community approves of the use of additions, such as standing racks, an additional charge of $25 will be incurred.
1.13. No material reasonably construed to be racist, sexist or homophobic shall be sold or displayed for sale. At its discretion, Windsor Pride Community may require vendors to immediately remove material it construes to be discriminating or offensive in any way.
2. Vending Terms and Conditions 2.1. The vendor may not assign or sublet the designated space or any part thereof. In the event of this happening, all future bookings will be immediately cancelled without refund.
2.2. The vendor must pay for rental space in advance. Failure to do so will result in an additional fee of $25 per booth, per day.
2.3. The vendor must not permanently affix, in any way, material to the tents or concrete. Any posters or signs must be removed at the end of contract time.
2.4. The vendor must only use furniture (table, 2 chairs) provided by Windsor Pride Community in their designated space provided.
2.5. If in the event that the vendor fails to occupy the assigned space as specified in the Vendor Information Form, Windsor Pride Community reserves the right to re-assign the space for that day. There will be no refund for the re-assignment of space.
2.6. The vendor will remove any garbage on or around the vending tables before leaving.
2.7. Vendors may choose to leave their materials overnight on Sunday, but do so at their own risk. (WPC) is not responsible for lost, stolen or damaged items at Riverfront Plaza.
2.8. Windsor Pride Community may terminate this agreement without notice for; any infraction of the terms and conditions and any infraction of any applicable laws, rules and regulations and standards of Federal, Provincial and Municipal Governments or agencies as well as insurance underwriters and Windsor Pride Community.
3. Responsibilities of the Vendor 3.1. The vendor is liable for all damage to the tents and Riverfront Plaza resulting from or connected with the vendor?s use of the designated space.
3.2. Any business conduct or practice carried on or maintained by the vendor which may harm or intend to harm the business or reputation of Windsor Pride Community, or reflects unfavourably on Windsor Pride Community or which may confuse or mislead the public, shall be immediately discontinued by the vendor at the request of Windsor Pride Community.
3.3. The vendor must restrict operation to within the area of the designated space, and to the designated area.
3.4. A receipt must be available upon request to all customers.
3.5. The refund and exchange policy must be made clear to the customer at the time of the purchase.
